WonderBill was owned by Shell Ltd. While WonderBill was a startup, they were restricted in how quickly they could onboard suppliers. This was due to the legal, financial, and governance teams having to make sure that all legal requirements were approved according to Shell's guidelines. This usually added a considerable amount of time to anything related to GDPR and customer data.
Using Jira I was able to create an automated tracker that would allow me to see at what stage of the approval process was. This allowed me to contact the relevant parties within Shell's governance, legal, or finance teams to get status updates. I was also able to set timers so that after a certain period of time I received e-mails letting me know that the SLA had been breached.
This tool turned around onboarding suppliers from months to weeks.
Once tasks had been completed and ticked off on the Kanban board, depending on the type of supplier, the status would automatically update and advise on who to speak to next. Below is a high level workflow used to determine how the process would operate.
